Challenge
The problem
Each clinic kept its own calendar, its own paper intake forms and its own idea of what a free slot meant. Reception staff double-booked specialists weekly, and head office had no way to see utilisation across sites without asking for a spreadsheet.
Solution
What we built
- Mapped the real booking process at three sites before designing anything, including the exceptions staff had invented to cope.
- Built one scheduling core with per-clinic rules for room availability, specialist hours and appointment duration.
- Moved intake forms online with a pre-visit link, so records arrive complete instead of being typed up after the fact.
- Added a head-office view showing utilisation, no-show rate and waiting times per site.
Design
Interface and experience
The interface is built for speed at a busy front desk: a dense week grid, keyboard-first search, and colour used only to signal state. Every destructive action is reversible.

Technology and architecture
A Next.js front end against a Node API and PostgreSQL, with row-level access control per clinic. Background jobs handle reminders and the nightly reporting rollup.
